AI task automation is handing everyday tasks to an AI that works out the steps and does them inside your apps, so you stop doing the clicking. Most people don't need "automation." They need fewer things on their list: sorting the inbox, updating the CRM, writing up the meeting, chasing the invoice. Small tasks that eat hours every week. This guide covers what AI task automation is, which tasks are worth handing off, how to set it up in five steps, and what to keep under human control.
What is AI task automation?
AI task automation means giving a task to an AI that works out the steps and completes them inside your tools, without you doing the clicking.
It's different from traditional automation in one important way:
- Traditional automation follows fixed rules. "When a form is submitted, add a row to this sheet." If anything unexpected happens, it breaks or does the wrong thing.
- AI task automation works from a goal. "Research the five leads that came in today and add notes to HubSpot." The AI reads, decides what matters and adapts to what it finds.
The tool doing the work is usually called an AI agent: AI that can use your apps, like Gmail, Slack, Notion or HubSpot, to take actions on your behalf. For a deeper look at how agents chain these steps together, see AI agent workflows.
Which tasks should you automate with AI?
The best candidates share three traits:
- They repeat. Daily or weekly, not once a year.
- They follow a pattern but need judgment. Too messy for rigid rules, too routine to need your full attention.
- They're easy to check. You can glance at the result and know if it's right.
If you're not sure what's on your list in the first place, how to delegate tasks walks through sorting a week of work into keep, delegate, automate or drop.

How to set up AI task automation in 5 steps
Step 1: Write down what's on your list
Start with your actual to-do list, not a blank automation builder. Pick three tasks that you do at least weekly and that you'd happily hand to a capable assistant.
Step 2: Connect the apps the work happens in
An AI can only do the task if it can reach your tools. Connect the apps involved: your email, chat, CRM, docs. In DeskFerry, agents work across 1,500+ apps without you managing API keys.
Step 3: Write the task like you'd brief a teammate
Be specific about the outcome, not the clicks:
Weak: "Do my email."
Strong: "Every morning, read yesterday's unread emails, flag anything from clients that needs a reply today, and post a summary in #team-updates."
Then assign it to an agent. In DeskFerry, you add the task to your Tasks board and pick the agent for the job. The card moves from Backlog to In Flight as the agent starts, and you can watch the work happen live.

This is the step most people skip, and it's the one that makes AI task automation safe. Before you let AI act, decide which actions it should check with you first. A good rule of thumb is to require approval for anything that:
- Sends something to a customer or outside your company
- Spends money
- Changes an important record
In DeskFerry, those actions pause the task and move it to Needs You. The decision lands on your Desk, you approve or edit it, and the agent carries on. More on how this works on the human approval page.
Step 5: Review, then loosen the reins
For the first week, check the results closely. Correct anything off and tell the agent what you'd prefer. DeskFerry agents remember your preferences, so the tenth run goes smoother than the first. Once you trust a task, you can approve less and let it run.
What to keep under human control
AI task automation works best when people keep the decisions that need judgment, relationships or accountability:
- Final say on anything sent to customers, at least at first
- Pricing, refunds and anything financial
- Hiring, performance and personal matters
- Anything legal or contractual
The goal isn't to remove you from the work. It's to remove you from the parts that don't need you.
Types of AI task automation tools
There are three broad kinds of tools, and they suit different jobs:
| Tool type | What it does well | Where it falls short |
|---|---|---|
| AI chat assistants | Drafting, summarising and answering questions when you ask | You still copy and paste the results into your tools yourself |
| Rule-based automation tools | Moving data between apps reliably when the rules never change | Can't handle judgment or anything unexpected |
| AI agent platforms | Completing multi-step tasks across your apps on their own | Need clear approval rules so they don't act on things you'd want to check |
DeskFerry is an AI agent platform built around the third type, with a task board for assigning work and a Desk for approvals. For a side-by-side of named tools, see the best AI automation tools.
How DeskFerry handles AI task automation
