DeskFerry vs Zapier
Zapier runs the steps you map out, one trigger and one action at a time. DeskFerry agents work from a plain-English brief and decide the steps as they go. Both are good tools. They fit different kinds of work.
Choose Zapier when
- you rely on an app only Zapier connects to (it lists over 10,000)
- the flow never changes: same trigger, same steps, every run
- you already have dozens of working Zaps and no reason to touch them
Choose DeskFerry when
- the job needs judgment: reading an email, researching a lead, drafting a reply
- you would rather describe the outcome than map every field
- you want to run work and approve it from Slack

DeskFerry: 1,500+ apps
04 · Entry price
Zapier: free, then $19.99/mo billed yearly

Same job, built twice
A demo request lands. Research the company, reply, log it.
A job most sales teams automate. In Zapier it is a chain of steps you wire together; in DeskFerry it is a brief and a list of apps the agent may use.
Prompt: "Write a short reply to [1. Name] at [3. Company]…"
Predictable and easy to audit step by step. When the form gains a field, or the lookup API changes shape, you re-map by hand.
Brief
When someone books a demo, look up their company, write a short reply in our voice that mentions something specific about them, and add them to HubSpot. If they have more than 50 people, tag the contact for Sam.
Allowed apps
Last run
- Read the form entry from Priya at Northwind
- Looked up northwind.io: freight logistics, about 120 people
- Drafted a reply that mentions their new Rotterdam depot
- Created the HubSpot contact and tagged it for Sam
- Waiting for your OK in Slack before sending
Copes with messy input and asks before anything leaves your outbox. An agent is less deterministic than a Zap, which is exactly why the approval step exists.

How the bill works
Tasks vs credits, worked through
Zapier counts a task every time an action step runs. Triggers, Filters, Paths and Formatter steps are free. A Zap with five billable actions that runs 150 times uses 750 tasks, the whole monthly allowance on Professional.
DeskFerry meters credits per job, and the count depends on how much work the job takes. A simple task uses one to five credits. Growth includes 5,000 credits a month for the whole plan, not per person.
A worked example, not a benchmark: real credit use depends on the job. Prices: Zapier Professional $19.99/mo billed yearly; DeskFerry Growth $49/mo.
Straight talk
When to stay on Zapier
A niche app only Zapier has
If a tool you depend on only has a Zapier integration, keep that Zap. DeskFerry and Zapier can run side by side.
Pure data plumbing
Copying a row from one app to another needs no judgment. A Zap is cheaper and more predictable for that.
Tiny volume, zero budget
Under 100 tasks a month, Zapier's free plan costs nothing. DeskFerry has a trial, not a free plan.
Moving over
Start with your messiest Zap
Leave the simple ones alone. Take the Zap with the most Paths, filters and AI steps; it is usually a judgment call dressed up as a flowchart.
Say what the Zap is for
Open it and write down, in a sentence or two, the outcome it exists to produce.
Paste that as the brief
Connect the same apps and switch on approval before anything is sent.
Let both run for a week
Compare the output, then turn the Zap off. The 7-day trial covers exactly this.
FAQ
Zapier questions
Doesn't Zapier have AI agents now?
Yes. Zapier Agents run on every plan and are billed in activities, separate from tasks: 400 a month free, 1,500 on the Agents Pro add-on. They sit next to Zaps. In DeskFerry the agent is the product, so briefs, approvals and Slack runs are built around it.
Can a Zap and a DeskFerry agent work together?
Yes. Keep the Zaps that move data reliably and hand the steps that need reading or writing to an agent. Many teams leave Zapier on the plumbing and move the judgment work.
Is an agent less reliable than a Zap?
For fixed flows, a Zap is more predictable because it runs the same steps every time. An agent is better when the input varies. That is why DeskFerry lets you require approval before an agent sends, posts or updates anything.
Which is cheaper for a team of 20?
It depends on volume, not headcount. Zapier Team starts at $69 a month billed yearly for up to 25 users and scales with tasks. DeskFerry is one price per plan with shared credits: $49, $99 or $299 a month.
Does Zapier have a free trial?
Zapier offers a free plan (100 tasks a month, two-step Zaps) and a 14-day trial of Professional. DeskFerry has a 7-day free trial and no free plan.
