DeskFerry vs Zendesk

Zendesk is a ticketing system built on business rules: triggers fire when a ticket changes, automations run on a clock, and agents apply macros by hand. DeskFerry sits outside the ticket and does the multi-app work that a rule can only route.

Choose Zendesk when

  • you need a full service desk: routing, SLAs, IVR, sandboxes
  • AI resolution should live inside the same ticket as your human team
  • you run phone support alongside email and chat

Choose DeskFerry when

  • tickets resolve fine but the follow-up work lives in five other tools
  • your macros keep growing because every edge case needs its own
  • you want per-plan pricing rather than per-agent seats

Rules vs a brief

A refund request comes in. Route it, fix it, confirm it.

Zendesk handles this with a trigger that routes the ticket and a macro an agent clicks once the refund is done by hand. DeskFerry does the refund itself and leaves the ticket with a note.

In Zendesk: trigger, manual work, macrobusiness rules
TriggerTicket is created · subject contains "refund"
ActionSet group: Billing · add tag refund_request
ActionEmail requester: "We've got your request"
HumanAgent opens Stripe, finds the charge, refunds it
HumanAgent updates the CRM record by hand
MacroRefund approved · send confirmation

Sets status Solved, sends canned reply, adds tag refunded

AutomationSolved for 96 hours → Closed

Reliable routing and a clean audit trail. The actual refund, the CRM update and the check that it went through still sit with a person.

In DeskFerry: one agent, one briefagent

Brief

When a refund request is tagged in Zendesk, find the charge in Stripe, check it's within our 30-day policy, refund it, note it in HubSpot and reply on the ticket. Anything over $200 or outside policy, ask #billing first.

Last run

  1. Picked up ticket #48213 tagged refund_request
  2. Matched the customer to a $64 charge from 12 days ago
  3. Within policy: refunded in Stripe
  4. Added a refund note to the HubSpot contact
  5. Replied on the ticket with the refund reference and set it to Solved

Zendesk still owns the ticket and the customer thread. The agent does the part that used to need a person to switch between three tabs.

Straight talk

When to stay on Zendesk

01

You need a service desk

Skills-based routing, SLAs, IVR and sandboxes are Zendesk's home ground. DeskFerry does none of that.

02

One record for AI and humans

When the AI agent and your team work the same ticket, handoffs lose no context. That's a strong reason to keep resolution inside Zendesk.

03

Your macros work

If a handful of macros covers most tickets and the follow-up is light, adding another tool isn't worth it.

Moving over

Retire the macros with a manual step before them

Look for macros an agent can only apply after doing something by hand in another tool. Each one is a candidate.

  1. List macros by the work before them

Refund issued, plan changed, invoice resent: note which tool the agent had to open first.

  2. Brief an agent for that work

It watches for the tag, does the job in the other tool, and replies on the ticket.

  3. Keep the trigger, drop the macro

Zendesk still routes and tags. The macro is no longer needed because the work is already done.

FAQ

Zendesk questions

How much do Zendesk AI agents cost?

Zendesk bills AI agents per automated resolution, with an allowance bundled into each plan. It doesn't publish a per-resolution price on its pricing page, so ask sales for your rate.

Isn't Zendesk Agent Builder the same idea?

It is close. Agent Builder, in early access since May 2026, lets you define no-code agents inside Zendesk, and Action Flows connect to 40 outside tools so far. DeskFerry agents already work across 1,500+ apps and aren't tied to one help desk.

Do I have to leave Zendesk to use DeskFerry?

No. DeskFerry connects to Zendesk. The ticket stays in Zendesk and the agent works alongside it.

What's happening to Zendesk's older AI agents?

Zendesk merged its Essential and Advanced AI agent tiers in 2026. Legacy AI agent versions stopped receiving development on 31 August 2026 and shut down on 10 December 2026.

Which costs less?

They cover different work. Zendesk is priced per agent seat for the service desk; DeskFerry is a flat plan for back-office agents. Most teams comparing them would keep Zendesk and add DeskFerry.

Let the ticket close itself

Brief an agent on the work your team does between the trigger and the macro, and keep Zendesk for the conversation.
