Automate Inventory Across WhatsApp Business with AI
For shops that sell over WhatsApp: an agent that answers "do you have it in my size?" from live Shopify stock, keeps a back-in-stock list from those chats, and messages each customer when the item returns.
27 stock questions answered today. One that needed a store check:
Customer
“Hi, do you have the Marlow suede loafer in tan, UK 9? Ideally at the Canal Street shop so I can try them on Saturday.”
Agent draft · in your tone
Hi Tunde, Canal Street has 1 pair of the Marlow in tan, UK 9, and our warehouse has 3 more. Shall I ask the shop to put that pair aside for you until Saturday close? If it sells before then, I can send one from the warehouse instead.
Can WhatsApp Business be connected to inventory?
Not on its own.
- 01
Trigger fires
WhatsApp Business carries the messages; stock lives in Shopify, Square or a spreadsheet.
- 02
Match the message to a single product variant
An agent connected to both closes the loop.
- 03
Check that variant's quantity at each store location
When a customer asks whether a product is available in a size, colour or branch, it looks up that variant's live quantity by location and drafts the reply.
- 04
Reply with stock, or add them to the waiting list
When stock is zero, it offers to notify the customer and adds them to a back-in-stock list.
- 05
You approve
When the item is received again, it sends everyone on the list an approved WhatsApp template, since the 24-hour reply window has usually closed by then.
Messages it can't pin to one variant go to staff.
How you tell it what to do
Built in plain English.
You write the rule the way you'd describe it to a teammate. The agent reads the rule, breaks it into the actions it'll take, and confirms the apps it'll touch — before it does anything.
- 1Match the message to a single product variant
- 2Check that variant's quantity at each store location
- 3Reply with stock, or add them to the waiting list
- 4Send a template message when stock is received

- Kemi2:47 PM
Set aside the tan UK 9 at Canal Street and confirmed it to Tunde.
- Agent2:31 PM
Sent the approved back_in_stock template to 6 customers waiting on the Marlow in black, UK 8.
- Agent2:30 PM
Paused Tunde A.'s request to reserve the last pair.
Reason: Only one pair is left at that store, and reserving it means a person physically moving it off the shelf.
- Agent2:29 PM
Drafted a reply to Tunde A. with Canal Street and warehouse quantities.
- Agent2:28 PM
Matched "Marlow suede loafer, tan, UK 9" to Shopify variant MRL-TAN-09.
How it works
Get started in three steps
Step 01
Connect WhatsApp Business and your stock system
Connect the WhatsApp Business account and Shopify, Square or the sheet that holds stock by location. Get a back-in-stock template approved for messages outside the 24-hour window.
Step 02
Say what the agent may promise
For example: quote quantities, offer to notify, never promise the last unit without staff, and don't quote stock on pre-order items.
Step 03
Handle the unclear ones
Vague product descriptions, last-unit holds and customers reporting stock that disagrees with the system wait for staff, with the chat quoted.

FAQ
Frequently asked questions
Can the agent update stock levels from WhatsApp?
It can if you want staff to report through it. A store manager can message a count, such as "Canal Street: Marlow tan 9 is now 0, one returned damaged", and the agent updates the Shopify quantity after checking it against the last recorded level. Large swings are held for someone to confirm before anything changes.
How does it message customers after the 24-hour window?
With a template. WhatsApp only allows free-form replies within 24 hours of the customer's last message. Back-in-stock notices usually go out days later, so they use a template your business has had approved, filled in with the product name and a link. Customers are only messaged if they asked to be told.
What if a customer's description doesn't match a product?
The agent tries the product name, colour and size, plus any photo or link the customer sent. If more than one variant fits, it asks a short question, like which of two colours they meant. When the chat still doesn't point to one SKU, it goes to staff instead of guessing.
Does it take orders or payments in the chat?
Not in this setup. The agent answers availability and manages the waiting list, and it sends a product link when a customer wants to buy, so the purchase happens in your store's checkout. Holds and reservations need a staff member, because someone has to take the item off the shelf.
Does it work across more than one shop?
Yes, and that is where it helps most. It reads quantity per Shopify location, so it can say a size is at one branch but not another, or in the warehouse for delivery. Locations customers shouldn't be told about, like a returns room, can be excluded in the rule.
