Inventory on Autopilot for Google Sheets Users
For small shops that count stock in a spreadsheet: an agent that subtracts each day's orders from the Stock tab, catches SKUs under their reorder point, and lines them up on a Reorder tab.
38 orders subtracted across 61 SKUs. 4 added to Reorder. First one:
Worked out from today's orders
- • 9 sold today, on hand now 11. Reorder point is 24.
- • Supplier Wickline Wax, usual order 72, lead time 12 days per the Suppliers tab.
- • At this week's pace the shelf runs out before the next delivery would land.
Can Google Sheets track inventory automatically from my online orders?
Yes, if an agent keeps the sheet up to date for you.
- 01
Trigger fires
It reads the day's orders from your store, subtracts each line from the on-hand column in your Stock tab, and compares the result with each SKU's reorder point.
- 02
Pull today's order lines from the store
Anything below it gets a row on a Reorder tab with the supplier, their usual order quantity and lead time, taken from columns you already keep.
- 03
Subtract each line from on-hand in the Stock tab
When you enter a physical count, it records the difference on an Adjustments tab instead of silently overwriting.
- 04
Add SKUs under their reorder point to the Reorder tab
Order lines with a SKU the sheet doesn't know, stock that would go negative, and unusually large orders are held for you to look at.
- 05
You approve
Anything under your confidence bar waits for a human.
How you tell it what to do
Built in plain English.
You write the rule the way you'd describe it to a teammate. The agent reads the rule, breaks it into the actions it'll take, and confirms the apps it'll touch — before it does anything.
- 1Pull today's order lines from the store
- 2Subtract each line from on-hand in the Stock tab
- 3Add SKUs under their reorder point to the Reorder tab
- 4Log count differences to the Adjustments tab
How it connects
Connect Google Sheets. The agent does the rest.
Claude and ChatGPT are already running on our side. You connect Google Sheets with one click, and inventory management runs inside it.

Actions
What Google Sheets + DeskFerry can do
Real Google Sheets actions your AI agent can perform automatically — no manual work required.
Add Sheet to Spreadsheet
Adds a new sheet (worksheet) to a spreadsheet. use this tool to create a new tab within an existing google sheet, optionally specifying its title, index, size, and other properties.
Aggregate Column Data
Searches for rows where a specific column matches a value and performs mathematical operations on data from another column.
Append Dimension
Tool to append new rows or columns to a sheet, increasing its size. use when you need to add empty rows or columns to an existing sheet.
Batch get spreadsheet
Retrieves data from specified cell ranges in a google spreadsheet; ensure the spreadsheet has at least one worksheet and any explicitly referenced sheet names in ranges exist.
Batch update spreadsheet
Updates a specified range in a google sheet with given values, or appends them as new rows if `first cell location` is omitted; ensure the target sheet exists and the spreadsheet contains at least one worksheet.
Batch Update Values by Data Filter
Tool to update values in ranges matching data filters. use when you need to update specific data in a google sheet based on criteria rather than fixed cell ranges.
Clear Basic Filter
Tool to clear the basic filter from a sheet. use when you need to remove an existing basic filter from a specific sheet within a google spreadsheet.
Clear spreadsheet values
Clears cell content (preserving formatting and notes) from a specified a1 notation range in a google spreadsheet; the range must correspond to an existing sheet and cells.
Create Chart in Google Sheets
Create a chart in a google sheets spreadsheet using the specified data range and chart type.
Create a Google Sheet
Creates a new google spreadsheet in google drive using the provided title.
Stock tab says 2 on hand, but 5 sold today. The count has drifted somewhere. Not subtracted.
SOAP-OAT-4PK isn't on the Stock tab. Looks like a new bundle variant added in the store yesterday.
One customer ordered 60 tea towels. That's more than a month of normal sales, so the reorder is waiting on you.
Human in the loop
Approve before it sends.
Every draft lands in a review queue. You approve, edit, or reject — the agent never acts on its own unless you explicitly turn that on for a workflow you trust.
Governance
Every action, with the reasoning attached.
Each step the agent takes is logged with what it did, why it did it, and which app it touched. Audit-ready, so security and compliance can sign off without backfilling.
- Agent11:09 PM
Added 4 rows to the Reorder tab and set their Status to "to send".
- Agent11:07 PM
Held the reorder for TWL-LIN-2 after order #5540.
Reason: A single order of 60 is outside this SKU's normal pattern. Reordering the usual 48 may be wrong if it's a one-off wholesale buy.
- Agent11:05 PM
Updated on-hand for 61 SKUs in the Stock tab from 38 orders.
- Agent11:02 PM
Read 38 orders placed since 11:00 PM yesterday, excluding 2 cancelled.
- Jess5:40 PM
Entered a shelf count of 19 for CND-CED-8, logged as a variance of minus 3.
How it works
Get started in three steps
Step 01
Connect the store and the stock sheet
Link Shopify, or whichever store you sell on, and the Google Sheets file you track stock in. Tell the agent which columns hold SKU, on hand, reorder point and supplier.
Step 02
Say when to reorder
Describe your reorder point, how much you usually buy from each supplier, and which products are made to order and should never be reordered automatically.
Step 03
Check what looks off
Routine updates happen overnight. SKUs that would go negative, unknown products and large one-off orders wait for you with the order that caused them.

FAQ
Frequently asked questions
Should my stock count live in the sheet or in Shopify?
Pick one as the source of truth. Many small shops keep the sheet as the master because it also holds stock for markets, wholesale and the back room. The agent updates the sheet from orders; if you also want Shopify's inventory numbers kept in line, say so and it will flag any SKU where the two disagree.
What happens when we do a physical count?
Type the counted number into a Counted column. The agent sets on hand to that number and writes the difference, the date and who counted to an Adjustments tab, so shrinkage and miscounts are visible over time rather than disappearing into an edited cell.
Does it place orders with my suppliers?
No, not by default. It lines up what to buy on the Reorder tab and you send the order. If you want, it can draft the supplier email from those rows for you to review, but it won't commit you to a purchase on its own.
How does it handle bundles and gift sets?
List each bundle's components on a Bundles tab. When a gift set sells, the agent subtracts every item inside it from the Stock tab. A new bundle it can't find components for is held, so it doesn't guess what went into the box.
Can it track stock in more than one location?
Yes, if the sheet has a column per location, such as shop floor, back room and a market van. Tell it which location online orders ship from, and it subtracts from that column only. Transfers you log on a Moves tab are applied between columns.
