Smarter Employee Onboarding for Discord Bot Teams
For remote teams that work out of a Discord server: an agent that sends each new hire a single-use invite, gives them the right roles when they join, and sets up their first-week channels.
3 hires start Monday. First invite sent:
How do you automate onboarding new employees into a company Discord server?
Connect your HR system and a Discord bot with the manage-roles permission.
- 01
Trigger fires
When a hire is marked as signed, the agent creates a single-use invite to your server that expires in a week and emails it to the hire's personal address.
- 02
Create a single-use server invite and email it
Once they join, it checks the account against the invite, sets their nickname to their real name, assigns their team role and a temporary new-hire role, adds them to a private thread with their onboarding buddy, and schedules a welcome call in the team voice channel for their first morning.
- 03
Match the joining account and set their real-name nickname
When the first two weeks are up, it removes the new-hire role.
- 04
Assign team and new-hire roles, open a buddy thread
- 05
You approve
Anything under your confidence bar waits for a human.
How you tell it what to do
Built in plain English.
You write the rule the way you'd describe it to a teammate. The agent reads the rule, breaks it into the actions it'll take, and confirms the apps it'll touch — before it does anything.
- 1Create a single-use server invite and email it
- 2Match the joining account and set their real-name nickname
- 3Assign team and new-hire roles, open a buddy thread
- 4Schedule the first-day welcome call as a server event
How it connects
Connect Discord Bot. The agent does the rest.
Claude and ChatGPT are already running on our side. You connect Discord Bot with one click, and employee onboarding runs inside it.

Invite fh-9Lm4 was used by an account created yesterday named 'dk_alt'. Roles not assigned until someone confirms it's Dev.
BambooHR lists her as a 3-month contractor. The rule gives #leadership-notes to all Design hires. Holding that role.
Start date changed from Sep 22 to Sep 29 after the invite was sent. Welcome call event still set for the 22nd.
Human in the loop
Approve before it sends.
Every draft lands in a review queue. You approve, edit, or reject — the agent never acts on its own unless you explicitly turn that on for a workflow you trust.
Governance
Every action, with the reasoning attached.
Each step the agent takes is logged with what it did, why it did it, and which app it touched. Audit-ready, so security and compliance can sign off without backfilling.
- Agent9:14 AM
Created server event 'Welcome, Jules' in the Art voice channel for Sep 22, 10:00.
- Agent9:13 AM
Opened private thread 'Jules onboarding' in #new-starters and added Jules and Priya.
- Agent9:12 AM
Assigned roles art-team and new-hire to Jules Amari and set nickname 'Jules Amari (she/her)'.
- Agent9:02 AM
Held role assignment for the account that joined on invite fh-9Lm4.
Reason: The joining account is one day old and its username doesn't resemble Dev Karim's name or the handle on his HR record.
- Maya8:40 AM
Marked Jules Amari as signed in BambooHR with a start date of Sep 22.
How it works
Get started in three steps
Step 01
Connect BambooHR and the bot
Link your HR system and add the bot to your server with permission to create invites, manage roles and create events. Keep its role above the team roles it assigns.
Step 02
Map teams to roles
Write which department gets which roles and channels, what contractors don't get, who the buddy is for each team, and how long the new-hire role lasts.
Step 03
Confirm the odd joins
Most hires join on their invite and get set up without anyone watching. Unfamiliar accounts, contractor exceptions and moved start dates wait for a person.

FAQ
Frequently asked questions
Why a single-use invite instead of our normal invite link?
A shared link can be forwarded, and anyone using it lands in your server. A one-time invite that expires tells the agent exactly which account arrived on it, so it can match that account to the hire before handing out roles that open private team channels.
What if the hire joins with a different Discord account?
The agent compares the joining account with the invite it sent and the hire's name. If the account is brand new, uses a different invite, or doesn't resemble the hire, it gives no roles and puts the join in the review queue so someone can confirm it on a quick call.
Does it set up their laptop, email or Google account?
Not through Discord. This page covers the server side: invites, roles, nicknames, threads and events. If you also connect Google Workspace or your IT ticketing tool, the same rule can create the account and open the equipment ticket, but those are separate connections.
Can it remove access when someone leaves?
Yes. When BambooHR shows a last working day, the agent can remove the person's team roles at the end of that day, or kick them from the server if that's your policy. Kicks are permanent, so most teams keep them behind a human approval.
Our bot can't assign some roles. Why?
Discord only lets a bot assign roles that sit below its own highest role. If a team role is above the bot in Server Settings → Roles, the assignment fails and the agent logs it. Drag the bot's role above the ones it hands out and it works on the next join.
