AI Automation for Digital Marketing Teams on Asana
For agencies that run client work in Asana: an agent that builds each new client's project from the signed scope, assigns owners, books strategist hours and keeps status updates current.
Signed at 2:12 PM. Project built with 4 sections and 31 tasks:
Built from the signed scope
- • Sections from the SOW: Kickoff, Google Ads, Meta Ads, Monthly Reporting. SEO wasn't sold, so there is no SEO section.
- • Access tasks come first: Google Ads manager account invite, Meta Business Manager partner access, GA4 viewer.
- • Marco added as follower on every client-facing task; Jess's October allocation is waiting on a capacity check.
How can a digital marketing agency automate client onboarding in Asana?
An agency can hand client onboarding in Asana to an agent that starts when a proposal is signed.
- 01
Trigger fires
It reads which channels the client bought, such as Google Ads and Meta but not SEO, and creates a project with a section for each, plus the tasks every client needs: ad account access requests, pixel and GA4 checks, the kickoff call and the first monthly report.
- 02
Read which channels and deliverables the client signed for
It assigns owners, adds the account manager as a follower, and creates weekly allocations for the strategist.
- 03
Create the project with one section per channel
Scope lines it has no template for, and hours that would over-book someone, wait for a person to decide.
- 04
Add access, kickoff and reporting tasks with owners
- 05
You approve
Anything under your confidence bar waits for a human.
How you tell it what to do
Built in plain English.
You write the rule the way you'd describe it to a teammate. The agent reads the rule, breaks it into the actions it'll take, and confirms the apps it'll touch — before it does anything.
- 1Read which channels and deliverables the client signed for
- 2Create the project with one section per channel
- 3Add access, kickoff and reporting tasks with owners
- 4Allocate strategist hours and add the account manager

- Marco2:31 PM
Moved the kickoff call task to Sep 26 and assigned it to himself.
- Agent2:15 PM
Posted a project status update: on track, waiting on ad account access.

How it works
Get started in three steps
Step 01
Connect Asana and where deals close
Authorize the Asana workspace and the tool proposals are signed in, such as PandaDoc or HubSpot. The agent reads your current client projects to learn your section and task naming.
Step 02
Describe your onboarding in plain English
Which tasks every client gets, which only apply to paid social or SEO, who owns ad account access, and how many strategist hours each retainer size gets.
Step 03
Decide the odd scopes
Unusual line items, over-allocated strategists and date conflicts wait in your queue. Standard retainers go straight into Asana.

FAQ
Frequently asked questions
Does it use our existing Asana project templates?
It builds the project task by task through Asana's API, using your current template as the reference for names, sections and due-date offsets. That is what lets it leave out sections for channels the client didn't buy, instead of creating the whole template and making someone delete the SEO tasks by hand.
Can it help with monthly client reporting too?
Inside Asana, yes: it creates each month's reporting task with a subtask per channel, attaches the exported report file, and posts a project status update. Pulling the numbers out of Google Ads or Meta is a separate connection. Asana holds the task and the status, not the ad data.
How does it handle strategist capacity?
It reads existing allocations before creating new ones. If a new client's hours would push someone past the weekly cap you set, it holds the allocation and says who is over and by how much, so a resource manager can reassign the account before kickoff rather than after the first missed deliverable.
Will our clients see what it does?
Only if clients are guests in your Asana workspace and the rule tells the agent to add them. Most agencies keep the delivery project internal and have the agent add the account manager as a follower on client-facing tasks, so the person who talks to the client sees every update.
What happens when a client changes scope mid-retainer?
Tell the agent or let it read the amended SOW. A newly sold channel gets its own section and tasks. For a dropped channel it moves open tasks into a Descoped section for someone to review, rather than deleting work people have already logged time or comments against.
