Run Report Generation on Teamwork — AI Agent
For agencies on Teamwork.com: a Monday report of every client project's hours against budget, overdue task lists and missing timesheets, written to a sheet and posted in Slack.
9 active client projects checked. The one to look at first:
Flagged from last week
- • Fairmont Credit Union website retainer: 52 of 60 September hours used with 9 days left in the month.
- • Oakridge Vet: 4 tasks overdue on the Fall newsletter task list, all assigned to Sam.
- • Kestrel Foods: 11 hours logged as non-billable on a billable project; left out of the client total for Theo to check.
How do I automate weekly project reports from Teamwork?
Connect an agent to your Teamwork site and tell it when reports are due and where they go.
- 01
Trigger fires
Every Monday it reads the previous week's time entries, each project's budget and the open task lists.
- 02
Pull last week's time entries by project and person
For each client project it works out hours used against the monthly or project budget, which tasks are overdue, and which milestones fall this week.
- 03
Compare logged hours with each project's budget
It writes one row per project to a Google Sheet and posts a short summary to the account leads' Slack channel.
- 04
List overdue tasks and milestones due this week
Before reporting, it checks for missing timesheets and for hours logged as non-billable on billable work, and holds those for a person so the totals aren't quietly wrong.

Anything under your confidence bar waits for a human.
How you tell it what to do
Built in plain English.
You write the rule the way you'd describe it to a teammate. The agent reads the rule, breaks it into the actions it'll take, and confirms the apps it'll touch — before it does anything.
- 1Pull last week's time entries by project and person
- 2Compare logged hours with each project's budget
- 3List overdue tasks and milestones due this week
- 4Write the sheet rows and post the Slack summary

11 hours marked non-billable on a billable project. Fix the entries, or keep them out of the client total?
Project has no budget in Teamwork. The contract says 30 hours a month. Add that as the budget?
Human in the loop
Approve before it sends.
Every draft lands in a review queue. You approve, edit, or reject — the agent never acts on its own unless you explicitly turn that on for a workflow you trust.
Governance
Every action, with the reasoning attached.
Each step the agent takes is logged with what it did, why it did it, and which app it touched. Audit-ready, so security and compliance can sign off without backfilling.
- Theo8:24 AM
Changed 6 Kestrel Foods time entries to billable.
- Agent8:07 AM
Posted the weekly retainer summary to #account-leads.
- Agent8:06 AM
Wrote 9 rows to the Retainer burn sheet, one per client project.
- Agent8:04 AM
Kept Kestrel Foods' non-billable hours out of the client total.
Reason: The project is billable but 11 hours were logged as non-billable, and including them or not changes what the client is told.
- Agent8:01 AM
Read 214 time entries and 37 overdue tasks across 9 active projects.
How it works
Get started in three steps
Step 01
Connect Teamwork, Sheets and Slack
Authorize your Teamwork site so the agent can read projects, task lists, time entries and budgets, then pick the sheet and channel the report lands in.
Step 02
Define at risk for your agency
For example: more than three quarters of the month's hours gone before the 20th, any overdue task on a client-facing milestone, or a person with no time logged for two working days.
Step 03
Fix the data it can't trust
Missing timesheets, billable mismatches and projects without budgets wait for you, instead of quietly skewing the numbers account leads see.

FAQ
Frequently asked questions
Teamwork already has reports. What does the agent add?
Teamwork's reports show the numbers; the agent says what they mean this week. It combines budget burn, overdue tasks and missing timesheets into one short line per client, weighs hours used against the day of the month, and posts it where account leads already look, every Monday, without anyone running an export.
What if people haven't logged their time yet?
It checks for gaps before reporting. Anyone with no entries on working days is flagged, and projects they work on are marked may be incomplete rather than reported as under budget. You can also have it message those people on Friday afternoon so the Monday report starts clean.
Can it send reports to clients directly?
It can draft a client-facing version per project, covering hours used against the retainer, work completed and what's next, and hold each one for the account lead to approve. Internal detail, such as non-billable time or which team member is behind, stays in the internal report only.
Does it change anything in Teamwork?
Not for reporting. It reads projects, task lists, time entries and budgets. If you want it to comment on an overdue task or post a project update, that is a separate instruction in the rule, and each such write is recorded in the audit log alongside the report it came from.
We bill some clients hourly and others on retainers. Does that work?
Yes. Tell the agent which projects are monthly retainers, which are hourly, and which are fixed-price builds. Retainers are measured against monthly hours, hourly clients get a running total for invoicing, and fixed-price projects are measured against the budget for the whole project rather than the month.
