Run Customer Retention on Google Sheets — AI Agent
For customer success teams whose account health lives in a spreadsheet: an agent that reads the sheet every week, marks the renewals that look shaky, writes down why, and sends each account owner a save plan.
212 rows read, 7 renewals flagged. Email to one owner:
How do I automate churn alerts from a Google Sheets account health tracker?
Point an agent at the tab where you track accounts, with columns such as owner, renewal date, seats bought and seats used, last login, NPS and open tickets.
- 01
Trigger fires
On a schedule you choose, it reads every row, applies the risk rule you wrote in plain English, and writes a risk flag and a one-line reason into columns you set aside for it.
- 02
Read every row in the Account health tab
It saves a dated snapshot tab so you can see who was flagged each week, then emails each CSM the accounts they own with a suggested save play.
- 03
Flag renewals with low seat use or low NPS
Rows with conflicting signals, a missing owner or a discount beyond your limit wait in a review queue instead.
- 04
Write the reason into column K and highlight the row
- 05
You approve
Anything under your confidence bar waits for a human.
How you tell it what to do
Built in plain English.
You write the rule the way you'd describe it to a teammate. The agent reads the rule, breaks it into the actions it'll take, and confirms the apps it'll touch — before it does anything.
- 1Read every row in the Account health tab
- 2Flag renewals with low seat use or low NPS
- 3Write the reason into column K and highlight the row
- 4Email each account owner their flagged renewals

Actions

NPS 9 last month, but no logins for 41 days. Not sure whether to flag, so holding for the owner.
Renews Oct 22 and matches the rule, but column C (CSM) is blank. Nobody to email.
Owner's note asks to offer three months free. Your rule caps save offers at one month.
Human in the loop
Approve before it sends.
Every draft lands in a review queue. You approve, edit, or reject — the agent never acts on its own unless you explicitly turn that on for a workflow you trust.
Governance
Every action, with the reasoning attached.
Each step the agent takes is logged with what it did, why it did it, and which app it touched. Audit-ready, so security and compliance can sign off without backfilling.
- Agent8:06 AM
Emailed Maya the 3 flagged renewals she owns.
- Agent8:05 AM
Added snapshot tab "Flagged 2026-09-21" with 7 rows and the ARR at risk summed per owner.
- Agent8:04 AM
Held Northwind Parcel instead of flagging it.
Reason: A recent NPS of 9 contradicts 41 days without a login. The rule doesn't say which signal wins.
- Agent8:03 AM
Wrote risk reasons to column K for 7 rows and set their fill to amber.
- Agent8:01 AM
Read 212 rows from Account health, skipping 4 rows marked "churned" in column B.
How it works
Get started in three steps
Step 01
Share the health sheet
Connect Google Sheets and Gmail, then tell the agent which tab holds your accounts and which columns mean owner, renewal date, seats, last login and NPS.
Step 02
Write the risk rule
Describe what makes a renewal shaky for your business, which columns the agent may write to, and what save plays each CSM is allowed to offer.
Step 03
Check the held rows
Flags and owner emails go out on schedule. Accounts with mixed signals, no owner, or an offer beyond your limit wait for you with the reason attached.

FAQ
Frequently asked questions
Does my account sheet need a particular layout?
No. The agent reads your header row and you tell it what each column means once, in plain words. It copes with extra tabs and notes columns. If a renewal date is typed as text or a seat count is blank, that row goes to the review queue rather than being scored on a guess.
Where do the usage and NPS numbers come from?
From wherever your sheet already gets them, whether that's a weekly export someone pastes in or an import from your billing tool. The agent scores what is in the sheet. If you want it to pull fresh numbers itself, connect the source app as well and say which column each figure goes into.
Will it overwrite what our CSMs type into the sheet?
It only writes to the columns you hand it, such as a risk flag, a reason, and a last-flagged date. Notes columns and anything a CSM owns stay untouched. Every cell it changes is listed in the audit log with the old and new value.
Can it email the customer directly with a save offer?
It can, but the default is to email the account owner, because a save conversation usually lands better from a person the customer knows. Some teams let it send a check-in to low-value accounts on its own and keep anything involving a discount with the CSM.
Won't the same accounts get flagged every single week?
The agent records the date it last flagged each row. It only raises the account again when a signal changes, such as seat use dropping further, a new low NPS score, or the renewal moving inside 30 days, so owners aren't handed the same list every Monday.
